Legal Assistant

The position will report directly to the General Counsel and has opportunities for professional growth and career advancement in a rapidly expanding environment.

Overview:

Medulla currently provides support and services to three comprehensive chiropractic care brands, Chiro One Wellness Centers, MyoCore Personalized Pain Care, and CORE Health Centers, all industry leaders in evidence-based, patient outcomes-centered care.

As the largest privately-owned chiropractic organization in the country, Medulla provides management resources to these organizations with full-scale experienced teams of professionals and specialists including marketing, clinical operations, legal, revenue cycle, human resources, IT, real estate, facilities maintenance and more.

How You Can Make a Difference

We are seeking a motivated, independent candidate who will understand our business model and objectives and work closely with the management team and our support functions to maintain our infrastructure to execute on various major company initiatives. The Legal Assistant will be a key member of Medulla’s Legal Services Department and is responsible as the backbone of the department’s vitality.

The successful candidate will have proven successes in lease and corporate records administration, and database maintenance. He/she will be collaborative with stakeholders, partners and customers to effectively support the needs of the business.

What You’ll Be Doing

  • Regular and timely Secretary of State maintenance report filings for all legal entities
  • Legal entity administration, records maintenance and updating
  • Professional liability insurance administration - Provide timely and accurate notifications to professional liability insurer of additions or removals of D.C.s to or from policy
  • Obtain and renew state operating licenses and business licenses as needed
  • Provide customer service to landlords
  • Lease administration, records maintenance and updating (including tenant improvement allowances)
  • Preparation, review, reconciliation and submission for payment of additional landlord charges to rent rolls
  • Preparation, review, and submission of bills, invoices and other charges to Accounts Payable for payment
  • Review and assist in drafting of standard leasing documents (such as lease renewal options, extensions, estoppel certificates)
  • Complete various agreement form templates and playbooks, and electronic storage and maintenance of same.
  • Liability insurance policy administration - Provide timely and accurate notifications to liability insurers or insurance brokers of additions or removals to or from insurance policies; receives and distributes Certificates of Insurance.
  • Provide support and assistance to the General Counsel, Associate General Counsel
  • Support executive leadership on ad hoc projects and initiatives
  • Other legal work as assigned consistent with job duties, experience and company needs

  • Mature judgment, attention to detail and ability to handle sensitive and confidential information
  • Self-starter with initiative, able to work independently as needed and with minimal supervision
  • Strong ability to manage multiple assignments simultaneously, prioritize properly, meet deadlines, handle ambiguity, and quickly pivot from one situation or task to another
  • Highly organized and systematic orientation
  • Excellent verbal and written communication skills to effectively work with various departments and levels within Medulla (including senior management) and cross functional teams, including Real Estate, Facilities, and Finance
  • Experience with interacting at senior levels with business management and professional customers and stakeholders
  • Adept at working in a fast-paced, high activity environment
  • Strong ability to listen and provide appropriate responses
  • Flexibility to work long hours as necessary to meet deadlines or for special project completion

Education, License & Certifications, Work Experience

  • Bachelor’s degree in relevant discipline
  • 5-7 years of in-house practice in various different areas of law, including real estate, general corporate and contract matters
  • Knowledge and experience in health law environment (especially regulatory/administrative matters) is strongly preferred
  • Highly proficient in computer systems and programs, including Word, Outlook, Excel, DropBox, Salesforce, etc.
