Our ideal candidate will be proactive, adaptable, and able to manage multiple tasks efficiently with a positive attitude. You will be the point person for managing our Austin office, coordinating supplies, handling various vendor relationships, and keeping our swag closet and snack supplies fully stocked. You will also be an integral part of onboarding and offboarding, Skimmer event planning and execution, and maintaining our company culture. Full transparency- we are moving offices later this year to a bigger space.

This role reports to our VP of People, and supports our entire Executive Leadership Team.

Key Responsibilities:

  • Office Management:
    • Ensure the office environment is organized, clean, stocked, and functioning efficiently.
    • Coordinate office move (estimated May, 2025) and new environment working with building management and all office-related vendors.
    • Oversee office supplies, equipment, and inventory and keep us stocked up in a cost efficient way.
    • Manage office space setup and supplies for new employees and visitors.
  • Administrative Support:
    • Assist the executive team with scheduling meetings, appointments, and travel arrangements.
    • Prioritize and manage multiple calendars to ensure time efficiency.
    • Coordinate internal and external meetings, ensuring all logistical details are handled.
    • Assist with onboarding and offboarding of employees.
  • Events Management:
    • Hands-on planning and organizing company events, team-building activities, and corporate meetings.
    • Bring creativity and fun to all Skimmer events- internal and external- with the goal of delighting customers, investors, and employees.
    • Manage vendor relationships, including negotiation of terms, invoicing, and performance tracking.
    • Work with cross-functional teams to ensure branding, invitations, and agendas are well coordinated and aligned to the event’s goals.
  • People Team Responsibilities:
    • Work with People Team members to create delightful candidate and employee experiences, including scheduling, welcoming, and follow-up communications.
    • Manage time-off planning and requests, tracking usage, leaves, and other time away.
    • Help with Company offsite planning, being the person who manages the details, and acts as point person for the team.

Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role in a fast-paced, tech-focused, high growth environment.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Highly proficient with productivity tools (Google Suite and Slack preferred).
  • Strong vendor management and negotiation skills.
  • Experience with 75+ person event management. 
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to work independently and collaboratively in a team environment.

Preferred Qualifications:

  • Familiarity with project management tools (e.g., Monday, Notion, Asana, Trello).
  • Experience working in the SaaS or tech industry preferred.
  • Previous experience in managing swag and event coordination.
  • A positive, flexible attitude and a willingness to adapt to a fast-changing environment.
