Virtual Office Assistant for Growing Psychology Practice Location Remote :

Small psychology group practice looking for a Virtual Assistant to join our team to provide part time administrative and executive support while working remotely.

As a Virtual Assistant, you will perform various administrative tasks, including answering/returning phone calls to potential and existing clients, as well as responding to emails, utilizing spreadsheets for tracking calls and wait lists, and uploading and inputting forms into electronic health records. As the practice grows, there may be opportunities for increased administrative support tasks. A history of working within the health care industry is desired, as confidentiality and compliance with HIPAA is essential. In addition, a personable, warm, and caring presence when speaking with clients on the phone is essential. Experience with a mental health practice preferred but not required. Knowledge of social media and marketing is a plus, as well as ability to streamline processes.

A strong Internet connection is required, as well as a history of doing VA work. Ultimately, you should be able to handle administrative tasks and deliver high-quality work under minimal supervision once trained.

Currently the VA job is about 4-8 hours per week, with possible increasing hours as the practice grows.

Virtual Assistant Responsibilities

  • Answer phone calls/Listen to voicemails and return calls
  • Organize correspondence and answer emails
  • Handle confidential employer, employee, and client information
  • Excellent customer service skills to clients
  • Update documents using Microsoft Office and/or Google Docs
  • Organize electronic filing systems (if needed)
  • Streamline processes for the practice to be more efficient

Manage social media account(s) and replies (if needed)

  • Prepare and create PowerPoint presentations and materials as needed; research materials and

sources for presentations (if needed).Virtual Assistant Requirements and Qualifications

  • Proven experience as a Virtual Assistant or relevant role
  • Strong customer service and presentation skills
  • Caring and compassionate demeanor
  • Excellent verbal and written communication skills
  • Experience with Microsoft Office and Google Workspace (formerly G Suite)
  • Experience with social media posting
  • Excellent time management and organizational skills
  • Self-directed and able to work without supervision
  • High school diploma or equivalent; college education preferred

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: 8 - 12 per week
